Initial Setup Checklist

Complete these steps to go live.

Welcome to Dispatcher Pro AI

Before you start dispatching, ensure your company profile is complete.

  1. Company Details: Go to Settings > Company. Enter your DOT/MC Number and Tax ID.
  2. Users: Invite your dispatchers via Settings > Team Management.
  3. Timezone: Set your operating timezone to ensure load ETAs are accurate.

Dashboard Tour

Understanding the main interface.

The dashboard is your command center. It refreshes every 30 seconds.

  • Active Loads Map: Real-time GPS location of all cargo.
  • Revenue Widget: Gross revenue for the current week vs last week.
  • Alert Center: Notifications about delayed drivers or maintenance due.

Register your assets.

Step-by-Step

  1. Navigate to the Assets tab.
  2. Click "Add Unit". Choose "Power Unit" or "Trailer".
  3. Enter VIN, Make, Model, Year, and Plate Number.
  4. Upload registration documents (optional but recommended for compliance).

Maintenance Schedules

Setting up service alerts.

Prevent breakdowns by scheduling maintenance.

  • Go to vehicle details > Maintenance tab.
  • Set intervals by Mileage (e.g., every 15,000 miles) or Date.
  • The system will alert the dispatcher and driver 500 miles before service is due.

Creating & Dispatching Loads

The core workflow.

Workflow

  1. Click New Load. Select Customer/Broker.
  2. Enter Pickup and Drop-off locations (address validation is active).
  3. Add Commodities (Weight, Dimensions, Pallet count).
  4. Rate Con: Upload the PDF rate confirmation.
  5. Click "Dispatch" to assign a driver immediately or "Save Draft" for later.

Driver Management

Onboarding New Drivers

Sending invites and credentials.

Drivers need an account to access the mobile app.

  1. Go to Drivers > "Invite Driver".
  2. Enter Name, Phone Number, and Email.
  3. Select Pay Type (Per Mile / Percentage / Flat).
  4. Driver receives an SMS with app login credentials.

Scanning Documents

How drivers upload BOL/POD.
Driver App

The app has a built-in document scanner with edge detection.

  1. Driver opens active load.
  2. Taps "Complete Delivery".
  3. Selects "Scan POD". The camera opens.
  4. Ensure good lighting. The app auto-crops and converts to B&W PDF.
  5. Upon upload, the dispatcher sees the POD instantly in the portal.

Location Tracking Permissions

Troubleshooting GPS issues.

If a driver appears "Offline" while working:

  • Ensure "Location Services" are set to "Always Allow" or "Allow while using app" in phone settings.
  • Check if Battery Saver mode is on (this restricts GPS).

Billing & Finance

Generating Invoices (Factoring)

Create invoices for brokers.

We support direct integration with major factoring companies.

  1. Go to Accounting > Invoices.
  2. Select completed loads. Click "Generate Batch Invoice".
  3. The PDF includes the Rate Con, BOL, and POD automatically merged.
  4. Email directly to your factoring agent from the portal.

Driver Settlements

Calculating payroll.

System auto-calculates driver pay based on their profile settings (e.g., $0.60/mile).

  • Navigate to Settlements.
  • Select the Pay Period (Weekly/Bi-weekly).
  • Add any reimbursements (tolls, scales, lumper fees).
  • Add deductions (advances, insurance, claims).
  • Print Pay Stub.

Safety & Compliance

IFTA Reporting

Fuel tax calculations.

The system tracks miles per state automatically via GPS breadcrumbs.

  1. Upload Fuel Purchases via CSV or Fuel Card Integration.
  2. Go to Reports > IFTA.
  3. Select Quarter (e.g., Q1 2025).
  4. Download the state-by-state mileage and gallon report.

Analytics & Reports

Profit & Loss Per Truck

Analyze fleet performance.

Identify which trucks are generating the most revenue vs cost.

  • RPM (Rate Per Mile): Loaded vs Empty miles analysis.
  • Cost Per Mile: Includes fuel, maintenance, and driver pay.
  • Top Lanes: Visual map of your most profitable routes.

Integrations

Fuel Cards (WEX / EFS)

Sync fuel transactions.

Connect your fuel card provider to auto-import expenses.

  1. Go to Settings > Integrations.
  2. Select provider (WEX, EFS, FleetOne).
  3. Enter API credentials provided by your fuel rep.
  4. Transactions will sync every 24 hours.

ELD (Samsara / Motive)

Sync HOS and GPS.

Import Hours of Service (HOS) to prevent dispatching tired drivers.

Supported ELDs: Samsara, Motive (KeepTruckin), Geotab.

Troubleshooting

Account Lockout

Resetting passwords.
Support

If you enter the wrong password 5 times, your account locks for 30 minutes.

Click "Forgot Password" on the login screen to receive a reset link immediately via email.
